1. What we collect
CalmWell collects information you provide when you create an account, complete an intake, book sessions, communicate with professionals, or contact our team. This includes contact details, information about the child receiving support, intake responses, appointment history, payment records, feedback, and uploaded documents.
2. How we use information
We use the information to operate the platform, match families with suitable professionals, schedule and manage sessions, process payments, maintain therapy-related records, respond to support requests, and improve the service. Sensitive information about a child is shared only with the professional assigned to that family and the CalmWell team responsible for matching and oversight.
3. Legal basis
We process personal data based on the contract between you and CalmWell, your consent where required, our legitimate interest in running the service, and our legal obligations.
4. Sharing
We do not sell personal data. We share data with the professional assigned to your case, with payment providers to process transactions, and with infrastructure providers that host the platform. We may disclose information when required by law.
5. Storage and security
Data is stored on managed cloud infrastructure with access controls, encryption in transit, and role-based permissions. Only authorised CalmWell staff and the assigned professional can access case data.
6. Your rights
You can request access to your data, correction of inaccurate data, deletion of your account, or a copy of your data in a portable format. Contact us to exercise these rights.
7. Children
Accounts are created by parents or legal guardians. Information about a child is provided by the parent or guardian and is treated as sensitive personal data.
8. Contact
For privacy questions, contact the CalmWell team through the support channel inside your account.
